Job Description
Responsibilities 
- Ensuring that all parcels for the day go out.
- Assist the supervisors with order processing queries.
- Ensure all queries received from order processing are effectively dealt with and order processing is updated on any change or problem that will impact the parcels going out, in collaboration with the cluster representative.
- Stand in for oncology, special medicine and stock supervisors in their absence.
- Prepare status reports.
- Monitor daily all profiles with an old scheduled date; if they do not move, reprocess them as priority.
- Monitor daily all profiles considered as SLA; if they do not move, reprocess them as priority.
- Handle old parcels and ensure the comment field shows correct information.
- Print pick slips.
- Print routing station instructions every 20 minutes to ensure constant flow of work.
- Maintain clean workflow stations and ensure no papers are left lying around.
- Print and monitor urgent emails.
- Ensure all emails received before the cut off via the urgent email are dispatched and handed over to the couriers with the relevant stickers attached before close of business.
- Ensure all emails sent after the cut off and accommodated with a phone call are dispatched and handed over to the courier with the relevant stickers attached before close of business.
- Run the priority report hourly.
- Ensure that all parcels added to the priority report are dispatched before close of business.
- Handle same day deliveries, dawn deliveries, Saturday deliveries and international deliveries.
- Ensure all same day deliveries are dispatched and handed over to the couriers with the appropriate stickers attached before the 10:00 cut off time.
- Ensure all dawn, Saturday and international delivery parcels are dispatched and handed over to the courier with the relevant stickers before close of business.
- Interact with other departments.
- Liaise with order processing and keep them updated on any developments regarding their urgent request.
- Pick priority parcels accurately and swiftly so as not to delay the couriers.
- Sign for priority parcels and record the time the parcel was taken.
- Pack parcels requiring special treatment and process them as per requirement.
- Sign for batch clerks, doctors group parcels, when needed.
- Regulate urgent parcels and hand them over to couriers.
- Communicate daily SLA requirements to all supporting staff for capacity planning.
- Communicate and/or report any shortcomings in any of the departments managed by the workflow and status supervisor.
- Communicate WIP figures to supporting staff upon request.
- Attendance/lateness/tea breaks/smoking policy compliance.
- Maintain housekeeping standards in the work area.
- Show willingness to help other departments, passion, commitment, team player behaviour.
- Learner Post Basic Assistant.
- 2 years experience in a similar environment.
- SAPC registered as a Learner Post Basic Assistant.
- Think on his/her feet and confidence in making decisions.
