OneDome is in an exciting and highly active phase of growth. We are seeking a proactive HR Assistant to join our team and support the HR Manager across a range of administrative, onboarding and employee engagement activities.

Position Overview

We are seeking a highly organised and detail-orientated HR Assistant to support the HR function in day-to-day administrative operations. This role plays a critical part in ensuring smooth HR processes, maintaining accuracy employee records, coordinating onboarding documents, supporting HR systems management and assisting with employee engagement initiatives.

Key Responsibilities
  • HR Administration & Documentation
    • Provide administrative support to HR Managers.
    • Maintain and update employee personnel files (digital and physical).
    • Gather, verify and file onboarding documents for new hires.
    • Ensure compliance with internal policies and labour regulations regarding documentation.
    • Assisting with preparing HR letters, employment contracts and verification documents.
  • Onboarding & Offboarding Support
    • Coordinate new hire onboarding documentation and ensure timely completion.
    • Support onboarding logistics (welcome emails, system access requests, induction schedules).
    • Track probation periods and confirmation timelines.
    • Assist in offboarding processes including exit documentation and clearance tracking.
  • HRIS Management
    • Support data entry and maintenance within the company's HRIS (Zelt).
    • Ensure data accuracy and timely updates (new hires, promotions, salary changes, leavers).
    • Generate HR reports and dashboards as required.
    • Assist employees with basic HRIS-related queries.
  • Employee Engagement & Initiatives
    • Assist in organising employee engagement activities and events.
    • Support internal communications related to HR initiatives.
    • Help coordinate training sessions and tracking attendance.
    • Collect feedback and assist in engagement surveys.
  • Compliance & Recordkeeping
    • Ensure proper filing and storage of confidential HR documentation.
    • Support audits by preparing required reports and documents.
    • Monitor document expiration dates (IDs, work permits, certifications etc).
Experience
  • Degree preferred in HR or similar.
  • 1-3 years experience in HR administration or similar.
  • Strong organisational and time management skills.
  • High attention to detail and accuracy.
  • MS Office proficient.
  • Experience with HRIS platforms strongly preferred.
  • Ability to handle confidential information discretely.
