Job Description

Faircape Health is seeking an experienced Healthcare Operations Coordinator (Half-Day) to join our healthcare leadership team in a hands on, operational coordination role across three of our long term healthcare facilities in the Southern Suburbs.(Tokai Estate, Noordhoek Manor and Cle du Cap)

The role is ideal for a Physiotherapist, Occupational Therapist, Registered Nurse, or Social Worker who enjoys working beyond direct clinical care and wants to play a meaningful role in healthcare operations, patient flow, compliance, communication, and service excellence.

As the Healthcare Operations Coordinator, you will work closely with the Healthcare Manager to ensure the smooth, compliant, and high quality day to day functioning of our facilities. You will act as a key operational link between clinical teams, support services, families, and management, ensuring that care delivery, admissions, MDT processes, and resident experience are consistently aligned with Faircape's standards. This is a people facing, fast paced, and impactful role, offering exposure across multiple facilities and disciplines, while still being rooted in clinical understanding and patient centred care.

Key Responsibilities Operational Coordination & Facility Oversight (All Facilities)
  • Support and coordinate admissions, transfers, and discharges in line with Faircape procedures
  • Ensure facilities are fully prepared for admissions, including room readiness and operational checks
  • Maintain daily operational oversight, ensuring no unresolved Health & Safety, maintenance, or service delivery issues
  • Conduct daily Health & Safety walkthroughs across all facilities
  • Participate in scheduled Health & Safety audits and track findings to closure
  • Maintain visible, hands on engagement with teams on the floor
Admissions Coordination & Resident Flow (All Facilities)
  • Coordinate pre admission assessments, including scheduling with families and MDT members
  • Manage the administrative admissions process, including:
    • Family communication
    • Issuing and tracking contracts
    • Completing admission documentation and Jotforms
    • Cross checking admission paperwork for completeness
  • Oversee admission days, ensuring a welcoming, smooth, and professional experience for residents and families
Family & Resident Communication (All Facilities)
  • Serve as a key front facing contact for residents and families
  • Maintain a professional, calm, and solution focused communication style
  • Proactively address concerns to ensure
  • Escalate complex or sensitive matters to the Healthcare Manager or relevant senior stakeholders as required
Multidisciplinary Team (MDT) Coordination (All Facilities)
  • Coordinate and schedule all required MDT meetings
  • Confirm attendance of relevant MDT members
  • Prepare and maintain MDT agendas, minutes, and documentation
  • Track MDT action items and ensure follow through
  • Support effective MDT collaboration to ensure integrated, patient centred care
Administration, Reporting & Communication
  • Prepare and submit daily operational reports to the Healthcare Manager
  • Communicate key operational updates across facilities
  • Monitor service delivery and identify trends, risks, or concerns
  • Escalate operational or clinical risks timeously
Ad Hoc & Operational Support
  • Provide flexible support during high pressure periods, including admissions, incidents, inspections, or audits
  • Assist with additional operational or administrative tasks as required

Requirements

Qualifications & Knowledge
  • Registered healthcare professional in one of the following disciplines: Physiotherapist, Occupational Therapist, Registered Nurse, Social Worker
  • Current registration with the relevant professional body (HPCSA / SANC / SACSSP)
  • Clinical experience within a healthcare, rehabilitation, or long term care environment

This is a half day position, with working hours from 08h00 to 14h00, Monday to Friday.
