Our client is seeking an experienced Function Coordinator to join the Grahamstown team,

Responsibilities
  • Establishing and maintaining relationships with clients and venues
  • Planning event details and aspects, including seating, dining and guests
  • Remaining under budget with all costs as set out by the kitchen, client and function guide
  • Managing events and addressing potential problems that may arise
  • Planning for potential scenarios that could impact on the integrity of the event
  • Maintaining a working knowledge of the complex needs of a wide variety of events
  • Managing all events that run through the kitchen, liaising with the Functions Head Chef and Team with regards to menus, orders, planning, and executing
  • Setting up Functions in various venues
  • Overseeing events from planning, to ordering, prepping and execution, and break down
  • Ensuring all events are costed as per the issue sheets and stock used
  • Assisting Managers in ensuring all event stock is in the unit on time for function chefs to be able to prep on time
  • Liaising with clients re the venue - cleaning, functions, equipment, staffing, etc.
  • Managing the staff working at the event effectively
  • Must communicate with Senior management about all events, menus, budgets, planning and must be able to communicate professionally with a client
  • Adapt to the environment and working conditions of an event
Requirements
  • Qualification in Events / Hospitality will be an advantage
  • Minimum 2-3 years events planning experience
