Our client in the Automotive and Transport Industry is currently looking to employ a Fleet Maintenance Contract Administrator to join their team based in Isando, Johannesburg.

The successful candidate will be responsible for managing fleet maintenance contracts, preparing cost per kilometer quotations, monitoring contract performance, and ensuring compliance with maintenance and warranty policies. The role requires strong analytical ability and coordination with internal teams, dealers, and financial partners to ensure contract profitability and operational efficiency.

Requirements
  • Matric / Grade 12 or higher qualification
  • Minimum 5 years' experience in a similar role
  • Experience in fleet maintenance contracts, service contracts, or aftersales administration advantageous
  • Strong analytical and financial understanding of cost per kilometer calculations and contract performance
  • Ability to work with contract databases and reporting systems
  • Valid Code 8 driver's licence
  • Confident, proactive, and solutions-driven approach
  • Strong attention to detail and administrative accuracy
  • Ability to work independently and within a team environment
Responsibilities Contract Quoting and Development
  • Analyse truck applications, operating conditions, and duty cycles to prepare accurate Fleet Maintenance Contract quotations.
  • Calculate and propose tailored cost per kilometer rates based on contract duration, mileage, and vehicle application.
  • Ensure quotations remain competitive while maintaining profitability and risk management.
  • Draft formal maintenance contracts including agreed service scope, rates, duration, and terms.
Contract Administration and Lifecycle Management
  • Capture and maintain all contracts within the system.
  • Maintain a contract lifecycle database including start and end dates, renewal alerts, and key milestones.
  • Ensure contracts are properly filed and easily accessible for reference.
Repair Authorization and Compliance
  • Vet and approve repair authorizations within contract scope and limits.
  • Ensure dealers and workshops follow the correct authorization protocols.
  • Escalate deviations or excessive claims for technical and financial review.
Financial and Fund Administration
  • Coordinate with the appointed bank or funder managing the repair and maintenance contract fund.
  • Submit monthly or ad hoc fund drawdowns based on approved claims.
  • Provide required reporting, balances, and reconciliations to fund administrators.
Reporting and Performance Monitoring
  • Generate reports on cost per kilometer performance, claim trends, contract profitability, and authorization patterns.
  • Assist with internal audits and continuous improvement initiatives related to contract performance.
General Administration
  • Support the Aftersales department with administrative tasks and ad hoc requests when required.
