Facilities Manager
Job Description
We are looking for an experienced Facilities Manager to oversee the smooth operation of our corporate office environment. You will ensure that our workplace is safe, efficient, and well maintained to support employee productivity and collaboration.
Qualifications/Experience- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field.
- 5 - 7 years' experience managing facilities in a corporate office setting.
- 3 - 5 years of management experience.
- Working knowledge of statutory requirements, including the Occupational Health and Safety Act.
Operations & Maintenance (the backbone)
- Manage office operations including reception, cleaning and security.
- Create and manage preventive maintenance programs.
- Handle breakdowns, emergencies and vendor coordination.
- Manage cleaning, waste, landscaping and security services.
- Ensure up time and reliability of all facilities.
- Implementation of Standard Operating Procedures.
- Arrange appropriate and effective pest control at regular intervals.
- Maintain interior and exterior fixtures, finishes and fittings in good condition.
- Engage with landlord on maintenance and necessary repairs.
- Access control to the building including alarm set up and maintenance.
- Maintain a well groomed and clean building appearance at all times.
- Ensure compliance with local regulations, building codes, and safety standards.
- Lead workplace safety programs and risk assessments.
- Manage inspections, audits, and certifications.
- Oversee emergency preparedness (fire drills, evacuation plans, business continuity).
- Ensure accessibility and compliance with standards like OSHA guidelines (or local equivalents).
- Build and manage facilities budgets and forecasts.
- Negotiate and manage contracts with service providers.
- Optimize energy use and utility costs.
- Track CapEx vs OpEx and ROI on facility upgrades.
- Identify cost saving opportunities without hurting quality.
- Lead and mentor maintenance and facilities teams.
- Allocate workload and supervise upkeep staff.
- Manage third party vendors (security, cleaning, MEP contractors).
- Set SLAs and KPIs; hold vendors accountable.
- Support cross functional teams (HR, IT, Ops) on space and infrastructure needs.
- Lead office moves, expansions, renovations, and fit outs.
- Oversee space planning, office moves, and workplace services.
- Drive workplace experience improvements.
- Support growth planning and capacity forecasting.
- Oversee capital projects from design to handover.
- Drive energy efficiency, waste reduction, and green initiatives.
- Manage sustainability reporting and certifications like LEED.
- Track carbon footprint and environmental impact.
- Implement smart building and energy management systems.
- Maintain asset registers and documentation.
- Maintain floor plans, space utilization data, and occupancy metrics.
- Ensure insurance documentation and compliance records are current.
- Inspect the property.
- Conduct market research.
- Keep good records of valuation reports.
- Provide market value reports of the property.
- Draft maintenance reports.
- Problem solving and decision making.
