We are seeking a highly capable Executive Assistant / Operations Coordinator to support a distinguished physician and CEO managing two companies:
A nuclear medicine practice operating across three hospital sites in Johannesburg and Cape Town.
A commercial property business based in Port Elizabeth.
This position is primarily remote/home-based in Johannesburg, with occasional in-person attendance at hospital offices.
This role will also provide personal and family administration support.
Key Responsibilities- Email & Communication Management
• Triage and manage inboxes, draft responses, and ensure timely communication.
• Prepare banking payments and transfers for approval (Investec, FNB).
• Assist with SARS submission preparation.
• Route invoices to accountants and track medical aid recoveries. - Practice Operations
• Coordinate with hospitals and contractors during practice setup.
• Prepare patient documents for sign-off.
• Manage equipment and consumables. - Personal Administration
• Manage calendars, school communications, and travel bookings.
• Protect personal time through effective scheduling. - Follow-up & Chase
• Systematically pursue external parties (hospitals, contractors, banks, staff) to ensure delivery.
- Experience:
• Proven track record as an executive-level PA or operations coordinator supporting senior executives or business owners.
• Strong financial literacy; experience with banking platforms, invoicing, and bookkeeping. A formal qualification in bookkeeping or financial administration is advantageous. - Skills & Attributes:
• Relentless follow-through and proactive problem-solving.
• High discretion and trustworthiness with sensitive financial, medical, and personal information.
• Ability to manage and hold remote staff accountable without direct authority.
• Strong technical proficiency (Google Workspace, banking portals, WhatsApp, task management tools).
• Calm under complexity, able to juggle multiple domains simultaneously. - Nice to Have:
• Healthcare administration or medical practice experience.
• Exposure to property management or commercial real estate.
• Bookkeeping qualification (ICB or similar).
Remote/home-based in Johannesburg.
Occasional in-person attendance at Gauteng hospital offices.
Full-time permanent role with potential to evolve into a broader operations position.
