A rapidly-growing commercial finance brokerage specialising in asset, vehicle, truck and machinery lending across Australia.

About the Role

Provide high-level support to the leadership team to ensure smooth operation of the business, optimise the executives' time, manage their calendars and communications, and proactively drive administrative excellence so the senior team can focus on business growth.

Key Responsibilities
  • Manage diaries and calendars for Directors and executives - scheduling, reorganising, prioritising, flagging conflicts, ensuring optimum use of time.
  • Coordinate inbound and outbound emails, calls and other correspondence; filter, prioritise, draft responses, elevate when required.
  • Anticipate needs: prepare briefing materials, meeting agendas, follow-up items, and ensure Directors are fully prepared ahead of calls/meetings.
  • Book and coordinate internal and external meetings, travel arrangements (if needed), logistics, venues, catering, itineraries.
  • Maintain confidential files and records; assist with administrative tasks such as expense reconciliation, documentation, approvals.
  • Act as gatekeeper and liaison between leadership and the broader team: ensure messages are communicated clearly, timely, and actions taken.
  • Support special projects as requested, e.g., creating reports, preparing presentations, improving executive workflows.
Qualifications
  • Proven experience as an EA or senior administrative assistant, ideally supporting Directors/Executives within a fast paced professional services environment.
  • Exceptional organisational skills, ability to handle complex scheduling, shifting priorities and high volumes of correspondence.
  • Strong written and verbal communication skills; high level of discretion and confidentiality.
  • Tech savvy: comfortable with Microsoft 365 suite, Zoom/Teams, and able to quickly adapt to new systems.
  • Experience with Hubspot or similar CRMs is a must.
  • Proactive mindset: anticipates executive needs, understands how to add value through prioritisation and initiative.
  • Strong interpersonal skills, confident in liaising with senior stakeholders, internal teams and external partners.
  • Experience in a finance, brokerage or lending environment advantageous.
