Job Description

Dis-Chem Pharmacies has an opportunity available for DC Dispatch Assistant Manager to join the team based in Midrand. The purpose of the role is to achieve operational excellence within the Dis-Chem Distribution Centres incorporating functions in the following areas; Order consolidation, Route planning, Dispatch both Local and Line-haul, Returns, Vehicle maintenance and in so doing ensure that both legal and customer requirements are met.

Minimum Requirements Essential
  • Grade 12 - Matric or Senior Certificate
  • Degree/Diploma in Logistics or Supply Chain Management.
  • Minimum 3 Years relevant experience in Distribution, Logistics or Supply Chain Environment
Advantageous
  • Experience in the Retail/Pharmaceutical Supply Chain. Experience with SAP, EWM or other ERP systems.
Job Description Operational Effectiveness and Planning
  • Ensure optimal route and space planning to meet the day-to-day strategic objectives.
  • Understand and execute the planning process involved when stock leaves the distribution centre.
  • Routing of vehicles in such a manner to ensure optimum utilisation and vehicle turnaround times.
  • Ensure all deliveries picked the previous day, are delivered the next day to local stores and within 48 hours to Coastal stores.
  • Arrange returns and collection of the upliftments which must be tracked throughout the return process.
  • Manage the process flow within the return cage, as per Dis-Chem standard and operational requirements.
  • Implementation of more efficient means of streamlining the operations.
  • Managing the productivity within the Department.
  • Ensure that maintenance is carried out within the requirement of the vehicle operational requirement and maintain accurate records of vehicles.
  • Assist with credit note reductions related to damages, picking and checking inaccuracies
  • Demonstrates an understanding of the business measures and targets directly relating to own role.
  • Liaise with night shift manager daily, related to work priorities, productivity, accuracy and staffing requirements.
Human Resource Management
  • Resolve personnel problems by analysing data, investigating issues, identifying solutions and take corrective action.
  • Ensure all managers and supervisors in department manage their staff efficiently.
  • Ensure training of new staff in that they have the necessary tools and equipment required to perform their duties efficiently.
  • Set employee goals and objectives.
  • Monitor staff performance including performance reviews.
  • Determination of staffing requirements
  • Follow up and control daily absence and over time.
  • Ensure performance management is done and maintained.
  • Manage team leave and absence.
  • Manage employees that do not comply with Dis-Chem Policies and procedures according to the disciplinary code.
  • Develop an environment that creates, maintains or improves the ability to carry out work related obligations.
  • Responsible for the succession planning of subordinates.
Administration
  • Ensure accurate administration for transactional excellence and POD requirements
  • Manage and adhere to GWP, SHE programme and OHS act.
  • Ensure department's consumable needs are met.
  • Ensure drivers are debriefed, paperwork is filled and queries resolved.
  • Ensure admin and daily checking of all delivery log sheets takes place, to facilitate queries and credit note request.
  • Monitor fleet running cost and diesel usage
  • Process all accidents and insurance claims.
Customer Service
  • Effective and efficient resolution and communication of internal and external customer day-to-day queries.
  • Build and maintain good relationships with all 3rd party stakeholders and communicate effectively to resolve any supply chain issues.
  • Ensure that all deliveries are delivered in full, on time and to the correct customer. Ensure that all customer related operational queries are efficiently resolved and feedback is given to customers and special orders are
Security and Operating Costs
  • Prevent and act on security or risk issues and ensure that risks are dealt with proactively.
  • Manage outsourced companies, including daily and monthly monitoring of SLA s and costs.
  • Ability to analyse and interpret any shrinkage indicators and act accordingly.
  • Be security conscious all the time and avoid committing theft or fraud.
Finance
  • Identify supplier issues that impact required financial objectives and address them at the appropriate level internally and externally
  • Proactively identify cost saving opportunities with expert insight into to true improvements and their ability to be effectively implemented.
  • Manage financial indicators in line with budgets for the operations environment and adherence to corporate governance principles.
  • Understand financial and planning indicators and act according to budget targets.
General
  • Housekeeping must be in accordance to Dis-Chem standards. Make sure that your work station is always clean and tidy.
  • Adhere to Dis-Chem Policies and Standard Operating Procedures.
  • Adhere to Health and Safety rules and regulations.
  • Adhere to Dis-Chem Uniform and personal appearance policy.
  • Adhere to Dis-Chem Disciplinary and Counselling Policy and Procedures.

  • Knowledge of Management Systems, Occupational Health and Safety Regulations, Public Safety and Security, Customer Service, Transportation Principles and Methods, Production and Processing, Material Handling Standards, Administration and Management, Supply Chain and Personnel and Human Resources Management. Knowledge of relevant Labour Relations Acts, industry standards and training objectives. Have knowledge of the business measures and targets, directly related to own role. Demonstrate thorough theoretical and practical knowledge and understanding of all Distribution Centre, logistics and supply chain operations. Comprehensive knowledge of Store and Distribution receiving procedures with regard to ordering, receiving and stocking. Knowledge of replenishment systems and procedures. Advantage: Understand quality control analysis and coordination.
