Job Description

Dis-Chem Pharmacies is looking for a Cosmetics Admin Manager who will be responsible for calculating and paying commissions for all the Cosmetics staff within the category.

  • Grade 12 - Matric
  • 3 - 5 Years Administration experience

Job Description
  • Maintain and manage the Cosmetic Managers & Consultants Master Data Commission File, ensuring accuracy across a structured three-stage process.
  • Process and update all staff-related changes including transfers, dismissals, maternity leave, and store (house) re-allocations.
  • Prepare and finalize monthly commission calculations, ensuring completion within 13-15 working days before submission to Payroll.
  • Verify and validate commission allocations to ensure accurate payment by confirming correct house/store allocations each month.
  • Oversee and review commission data captured by the Admin Clerk to ensure accuracy and compliance with company standards.
  • Compile month-end sales figures and establish new monthly sales targets for the Group (Total Beauty).
  • Generate and distribute Cosmetic Regional month-end printouts for management review.
  • Conduct detailed analysis of store performance post month-end, reviewing Target vs Actual results and calculating applicable incentives in collaboration with senior management.
  • Manage high-volume daily correspondence (200-300 emails), primarily relating to staff movements and store changes.
  • Request commission related invoices and submit updated commission schedules (including staff name changes) to the Debtors Department for invoice generation.
  • Process cosmetic markdowns and facilitate relevant invoice requests.
  • Reconcile and submit Total Beauty commission sheets to the Debtors Department, ensuring all balances align with invoices issued.
  • Maintain and update the Beauty Commission Structure across the entire Group.
  • Manage supplier salary contribution consultants in collaboration with the Debtors Department.
  • Create and maintain cosmetic attribute numbers and coordinate system updates through QlikView (three-step process).
  • Review and approve Beauty Nomination Forms in line with strict qualifying criteria for star awards.
  • Submit monthly commission schedules to Payroll and communicate confirmed commission payments to Regional Managers.
  • Prepare and distribute commission schedules for Dis-Chem Namibia house payments to relevant stakeholders.
