About the RoleYou will manage the CIMA reception, ensuring you answer calls, you make visitors feel welcome and you attend to them swiftly and politely. You will help process, print, post/collect, and track all regional certificates for students and members. You will report to the Manager - Operations, onsite at our offices in Johannesburg.
You Will- Greet visitors and ensure they are attended to swiftly. Welcome and offer general information to students, members, prospects, and other visitors.
- Handle face-to-face queries including questions about the organisation and products.
- Promptly answer switchboard, screen and direct calls to the correct destination.
- Manage the requirements for stationery, printer cartridges, groceries, refreshments and other consumables in the office.
- Ensure resolution of faults for equipment for office such as switchboard, franking machine, photocopier, light bulbs, faulty plugs.
- Work with Operations and facilities specialist to collaborate with external contractors, landlord, and cleaners for repairs and services and to ensure the workspace is clean and free of defects.
- Prepare outbound post daily, courier services, sort incoming post, post welcome packs.
- Manage the regional certificate process. Process certificates for members and students, send email notifications and forms to students/members. Oversee print runs. Complete the registered mail list of certificates ready for franking and postage. Add all requests onto the CRM profile for follow-up queries.
- Develop, document, and improve the Regional Certificate process on an ongoing basis. This will create continuous improvements in user experience. Ensure that all partners know the process and know how to track certificates using our CRM, Salesforce.
- Manage Conference room bookings, assist with refreshments and provide tech support for Audio/Visual and meetings set up.
- Matric level education.
- 0-1 years' related business experience including customer services, administrative responsibilities and switchboard experience.
