Aftermarket Administrator M/F
Job Description
We are looking for an Aftermarket Administrator (M/F) based in South Africa.
The purpose of this position is to provide accurate and reliable administrative support to the Maintenance Managers, analysing and controlling all aspects of the Aftermarket department's administrative policies and practices. The role aims to implement actions aligned with the company's strategic objectives, maximise efficiency, and ensure the department operates according to targets and operational requirements.
Key Responsibilities- Overall responsibility for ensuring administrative tasks related to the financial aspects of the Aftermarket department's operations are completed correctly and timely.
- Work In Progress (WIP)
- Monitor and manage the team's efforts and process of closing jobs to keep WIP within acceptable parameters.
- Investigate why jobs older than set parameters remain open and assist in resolving closure issues.
- Review, implement, and continuously develop processes related to WIP to maintain accuracy of data captured and invoicing.
- Debtors
- Act as the overall contact for the debtors' department - receive, distribute to foremen/product support engineers, and follow up on debtors' queries.
- Prepare and submit written or verbal feedback to the debtors' department and Aftermarket Managers.
- Creditors
- Assist Aftermarket Managers to manage creditors in line with company policy.
- Check reconciliations for outstanding invoices, follow up, and ensure payment processing.
- Clear the purchase awaiting invoices report.
- Labour Recovery
- Monitor labour sales per technician; ensure labour recovery data is captured and inputted daily by controllers.
- Analyze and identify loss making Aftermarket contracts and alert the Aftermarket Manager.
- Clarify machine usage that may be invoiced incorrectly and elevate to the Aftermarket Manager.
- Ensure the warranty claims process is performed accurately and submitted on time, tracking recovery and coordinating with product support engineers.
- Invoice excess hours and load new contracts.
- Assist Aftermarket Managers, Product Support, and Controllers to ensure high quality of service for fleet Aftermarket, optimise response time, and provide professional service at all times.
