Administrative Assistant

Job Purpose

  • Provide support to the Quality, Risk and Knowledge Management (QRK) unit in the Faculty of Business Management Sciences in managing and supporting Quality (qualification reviews, related processes and key information), Risk (registers, related processes and key information) and Compliance initiatives at a Faculty and Departmental Level and Institutional Reporting level.
  • Work as a team member to ensure effective and efficient rendering of quality service through contributing to the unit's activities, which require team support including but not limited to graduations, internal reviews, financial, meeting/forum organisation and other related functions.

Job Knowledge, Skills and Experience

  • National Diploma in Office Management and Technology, Business and Information Administration/Management or equivalent related qualification.
  • Minimum 2 years in office management / business and information administration and/or related administrative experience.

Recommended

  • BTech in Office Management and Technology / Advanced Diploma / Honours in Business and Information Administration.
  • Administrative experience within an academic department in a higher education environment.
  • ITS I-Enabler, including student and related enquiries.
  • SharePoint administration and navigation (uploading, updating and sharing of documentation on Info HUB).
  • MIS Portal (knowledge of PowerHeda).

  • General administrative functions, engagement with various stakeholders, correspondence and reporting.
  • Record and data administration, capturing, tracking and reporting.
  • SharePoint filing, administration and management.
  • Meeting / forum / workshop organization and related minute taking.
  • Team support and related administration.
  • Proficiency in English - written and verbal.
  • Proficiency in MS Office and ITS.
  • Organisational and time management skills.
  • Attention to detail.
  • Interpersonal skills.
