JOB TITLE: Administrative Assistant REPORTS TO: Director of Athletics FLSA STATUS: Non-exempt CONTRACT STATUS: Full-time / 12-month contract SALARY SCHEDULE: 12 Month Administrative Assistant APPROVED DATE: 03/21/2022 SUMMARY:

Provide assistance and support for the Athletic Director.

ESSENTIAL FUNCTIONS:
  • Prepare bus requests for transportation to away athletic events.
  • Secure game workers for all home athletic events.
  • Confirm all athletic schedules, both on a season and weekly basis.
  • Prepare all requisitions for equipment orders.
  • Confirm officials' schedules for all home athletic events.
  • Submit payroll requests to the Payroll Department.
  • Handle all phone calls in a polite, informative, and efficient manner.
  • Prepare written correspondence for the athletic director and coaches.
  • Report athletic absences to the attendance offices.
  • Review and sort all incoming mail.
  • Submit substitute reports for coaches who miss class time for athletic events.
  • Maintain and update the Owasso Athletics web calendar.
  • Record income and expenditures in the athletic department activity account.
  • Prepare account summaries for the athletic director and the head coaches.
  • Maintain current athletic rosters on all Owasso athletic squads.
  • Assists with special projects.
  • All other duties as assigned by the administrator.
SUPERVISORY RESPONSIBILITIES

Carries out supervisory responsibilities in accordance with the district's policies and applicable laws including interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE
  • High school diploma or GED
  • Minimum of one (1) year of administrative experience
KNOWLEDGE/SKILLS/ABILITIES

Computer literate; excellent written and oral communication ability. Ability to follow all district policies and procedures. Ability to work independently, displaying initiative and enthusiasm for the tasks being done. Demonstrating strong communication skills, orally and in writing, with faculty, staff, team members, and administrators. Ability to work without supervision, and work as a team player. Ability to manage confidential information in a manner that respects students, families, and employees. Ability to listen effectively.

LANGUAGE SKILLS

Ability to read, analyze, and interpret English language. Ability to communicate effectively with parents, staff, and students.

MATHEMATICAL SKILLS

Ability to collect, organize, and interpret data, define problems, and draw valid conclusions.

REASONING ABILITY

Ability to apply common sense understanding to carry out written and oral instructions. Ability to define problems, collect data, establish facts, and draw valid conclusions.

LICENSES and REGISTRATIONS

Current driver's license in good standing.
