Job Description
Our client who is in the food manufacturing and ingredient industry is looking for an Admin/Office Manager to oversee and manage administrative operations while coordinating sales orders and customer service functions. The role ensures smooth collaboration between departments, accurate order processing, effective debtors control, and strong support to the sales team, while managing the admin team and co ordinating between departments. Main liaison for the South African subsidiary to drive and report CSR (ESG) actions.
- Diploma or Degree in Business Administration, Accounting, or related field
- 3-5 years' experience in sales administration or office management
- Experience in invoicing and debtors management
- Strong computer skills (MS Office, especially Excel)
- Experience with accounting or ERP systems
- Previous supervisory experience preferred
- Understanding of ESG and common practices would be advantageous
- Strong coordination and communication skills

- Capture, process and track customer orders (from receipt to delivery).
- Liaise between Sales, Operations, Warehouse, and Finance departments to ensure smooth order fulfilment.
- Communicate order status updates to customers and sales representatives.
- Manage order amendments, cancellations, and backorders.
- Provide administrative support to the sales team.
- Assist with quotations, pricing confirmations, and order confirmations.
- Maintain and update customer records.
- Debtors & Invoicing
- Generate and verify customer invoices.
- Monitor customer accounts and follow up on outstanding payments.
- Reconcile customer accounts
- Maintain proper record keeping for audit purposes.
- Administration and Office Management
- Oversee daily administrative operations.
- Supervise and manage administrative team (2 assistants).
- Allocate tasks and monitor workload distribution.
- Implement and improve administrative systems and processes.
- Event/Conference planning and co ordination
- Assist with annual financial audit and reporting preparation.
- Ordering of Office equipment/IT Supplies
- Administration of the office communication system (telephone & internet)
- CSR Management
- Main CSR contact for to co ordinate and drive ESG projects between SA Subsidiary and Head office (in France)
- Annual ESG reporting.
