Job Description

Overall Responsibility:

To provide efficient administrative and operational support to the Brackenfell Warehouse and logistics functions. This role supports the daily coordination of order processing, invoicing, inventory updates, and logistics documentation, ensuring a smooth workflow that assists internal teams and external customers. The Operations Administrator reports directly to the Warehouse & Logistics Manager and plays a key role in executing the team's administrative processes.

Logistics:
  • Manage primary distribution orders from BOS co-packers (Rhodes, Gateway, Rooibos Ltd, Elandsberg) - tracking orders, delivery timing, booking trucks, requesting transport POs & invoices, ensuring correct BBDs, compiling transport documents.
  • Coordinate with warehouse and transport teams to ensure timely dispatch/collections.
Warehouse:
  • Manage all customer orders, ensuring they are delivered on time and in full.
  • Monitor and update order status, providing feedback to internal teams and customers.
  • Manage full logistics network (outsourced and BOS-owned) and ensure best rates are achieved for all routes.
  • Engage with customers (in particular DCs) to optimise order efficiency and actively reduce cost to serve.
  • Own relationships with key suppliers (SG and logistics providers) & customers (DC controllers).
  • Transport raw material to contract packers or warehouses.
  • Ensure tracking details and communication are shared with stakeholders.
  • Manage the full function of the BOS warehouses (own and outsourced SG).
  • Ensure sufficient stock to fulfil orders in the right warehouse while staying within the stock days target.
  • Overall accountability for the CHEP account.
  • Get warehouse stock counts from all regions, check invoices, and reconcile stock balances.
  • Manage warehouse efficiency, process, and ensure implementation of safety protocols.
  • Ensure damages/stock loss are minimised, with protocols in place to mitigate.
Admin and Invoicing:
  • Prepare and process shipping and operational invoices.
  • Assist Finance with billing accuracy and documentation submission.
  • Maintain accurate records of deliveries, shipments, returns, PODs, and GRVs.
  • Ensure movements are captured on BOS ERP to maintain seamless stock and invoicing flow.
  • Review transport invoices before handing them over for processing.
Exports:
  • Control all exports from SA - Commercial Invoices, Packing List, BOL/AWB, COI, and all relevant transport documentation.
  • Ensure exports leave in a timely manner.
Certification:
  • Ensure all organic movement is tracked and captured on Mass Balance.
  • Ensure the mass balance is up to date.
  • Maintain a sufficient paper trail of all organic products on time.
Reporting:
  • Report on SOH weekly to the BOS team, alert any stockout issues, and manage blocked stock.
  • Prepare monthly stock on hand reports (SA) + Ageing.
  • Provide weekly Case Fill Reports.
  • Compile monthly warehousing and distribution files for management presentation.
  • Prepare Management stock movement sheet.
Skills and Requirements:
  • Highly organised, detail-oriented, and proactive.
  • Minimum 4-5 years of experience in logistics/warehouse administration, preferably in FMCG or warehouse/distribution environment.
  • Post matric qualification in Logistics, Business Admin, or related field preferred.
  • Comfortable using Excel, ERP/invoicing tools, and order portals.
