Job Description

Key Outputs
  • Manage the scheduling and trafficking of all creative jobs from briefing to final delivery, including print, digital, video, and event-related assets.
  • Maintain a centralized project tracker and assign tasks to designers, copywriters, editors, and external vendors.
  • Prioritize workload based on business objectives, urgent requirements, and team capacity.
  • Ensure all stakeholders are aligned on timelines, expectations, and deliverables at every stage of a project.
  • Coordinate with internal teams (marketing, digital, brand, events, etc.) to gather briefs and clarify requirements.
  • Monitor deadlines, flag bottlenecks, and drive timely delivery of all marketing and creative outputs.
  • Facilitate daily or weekly status meetings and update stakeholders on project progress.
  • Liaise with printers, photographers, agencies, and other external vendors to track jobs and delivery timelines.
  • Ensure that all creative output adheres to brand standards and review protocols before being released.
  • Centralised Project Tracker: A live, up to date "master list" (using tools like Trello, or Excel) showing exactly what every team member is working on and when it's due.
  • Production Schedules: Detailed timelines for every project that show key dates-from the first creative brief to the final print or digital go-live.
  • Daily/Weekly Status Reports: Clear updates for managers and stakeholders that highlight what has been finished and what is coming up next.
  • Completed Creative Briefs: Ensuring every job has a clear "to-do" list with all the right info before a designer even starts work.
  • Capacity & Workload Plans: Weekly views of the team's "bandwidth," showing who is too busy and who has space to take on more work.
  • Vendor Delivery Logs: A record of all jobs currently with external printers, agencies, or photographers, including their expected delivery dates and costs.
  • Bottleneck Alerts: Early-warning reports that flag if a project is stuck (e.g., waiting for an approval) so it doesn't delay the final launch.
  • The Final Sign-off Record: A "quality check" log confirming that every asset has been approved by the brand and legal teams before it is released
Qualification, Experience and Competencies
  • Diploma or degree in Marketing, Project Management, Communication, or a related field.
  • Advantageous: Post graduate degree in marketing, communications or psychology
  • Two to Four years' experience in traffic coordination, project management, or agency operations role.
  • Proficiency in project management tools (e.g., Trello, Asana, Microsoft Project, or similar).
  • Excellent verbal and written communication skills.
  • Excellent Microsoft Office suite skills (word, excel, PPTX)
  • Ability to work under pressure and manage tight deadlines
  • Familiarity with creative processes, print production, and digital content workflows
