An adventure tour company offering unique tours across Asia, Africa, and South America is seeking a friendly and dynamic Tour Operations Administrator. This is a detail-intensive role suited to someone who thrives on accuracy, speed, and proactive follow-through. You will provide critical administrative support to the Operations team while occasionally coordinating with on-the-ground teams. The ideal candidate is highly organised, systems-minded, and able to interpret situations independently to ensure tasks are completed thoroughly and correctly.
Responsibilities- Provide responsive and reliable administrative support across the Operations team.
- Maintain accurate, up-to-date operational records and key data points.
- Manage routine supplier and partner communication within defined parameters.
- Ensure confirmations, rates, terms, and key notes are properly captured and maintained.
- Administer supplier and ground operator agreements once approved, including record-keeping, version control, and key-term tracking.
- Assist with planning and coordinating tour logistics.
- Provide office-based operational support to on-tour teams, including handling changes, updates, confirmations, and issue follow-through.
- Update and maintain tour content following tour and seasonal briefings.
- Ensure Drive folders and operational documentation remain complete, consistent, and easy to navigate.
- Capture decisions from meetings and translate them into clear, actionable tasks.
- Maintain kickoff task lists, monitor owners and deadlines, and support handover to the Operations Manager for completion tracking.
- Follow internal procedures for task assignment and team communication.
- Step in where needed to keep operations progressing smoothly.
- Identify recurring issues and recommend practical improvements to streamline delivery and reduce operational friction.
- Prior experience in travel operations, logistics coordination, tour administration, or a similar execution-heavy administrative role.
- Proficiency with operational systems (Peak 15), Excel, and structured file management within Google Workspace.
- Comfortable working across multiple countries, suppliers, and time zones (with occasional out-of-hours coordination).
- Highly organised, fast, and detail-oriented.
- Proactive, quick learner who identifies gaps and resolves them.
- Confident communicator who speaks up when something appears incorrect or unclear.
- Calm under pressure with strong prioritisation skills.
- Strong written communication and professional supplier engagement ability.
- Systems-minded with disciplined record-keeping habits.
