Job Description

An adventure tour company offering unique tours across Asia, Africa, and South America is seeking a friendly, dynamic andexecution-focused full-time, hybrid, Operations Administrator who can manage detail-heavy tour operationstasks quickly, accurately, and proactively. You'll play a key role in office administrative support tothe Operations team, with occasional coordination support to on-the-ground teams.

This role is for someone who has strong administrative skills, can take initiative, interpret situations withoutneeding step-by-step instruction, and get things finished properly. You will be hands-on in communicationto suppliers, documentation, systems accuracy, tour builds, logistics, and operational problem-solving.

Key Responsibilities

Day-to-day operations admin:

  • Provide reliable, fast admin support across the Operations team.
  • Keep operational records and key details accurate and up to date.
Supplier and partner communication:
  • Handle day-to-day supplier/partner communication within an agreed scope.
  • Keep supplier confirmations, rates, terms, and key notes properly recorded.
Agreements and invoicing support:
  • Administer supplier/ground operator agreements once drafted and confirmed(record-keeping, version control, key terms tracking).
  • Assist with planning and coordinating tour logistics.
  • Provide office-based operational support to on-tour teams (changes, updates, confirmations,issue follow-through).
Documents and content upkeep:
  • Update and maintain tour content documents after tour briefings and season briefings.
  • Ensure Drive folders and operational documentation are complete, consistent, and easy tonavigate.
Task follow-through and internal coordination:
  • Help capture decisions from meetings and convert them into clear action items.
  • Maintain kickoff task lists, follow up on owners and deadlines, and support handover to theOperations Manager for completion tracking.
  • Follow internal procedures for assigning and communicating tasks within the team.
General support:
  • Step in where needed to keep operations moving and decisions implemented.
  • Identify repeat problems and propose practical fixes that improve delivery and reduce operationalnoise.
Requirements
  • Prior experience in travel operations, logistics coordination, tour administration, or a similar admin, execution-heavy role.
  • Confident with operational software (Peak 15), Excel spreadsheets, and structured file management(Google Workspace).
  • Comfortable working across multiple countries, time zones, and suppliers (sometimes) at timesoutside of business hours.
  • Fast, accurate, and highly organised.
  • A quick learner who is proactive and forward-thinking. You notice what's missing and address it.
  • Comfortable speaking up, sharing your view, and raising concerns when something doesn't lookright.
  • Calm under pressure and good at managing competing priorities.
  • Strong in written communication and professional supplier interaction.
  • Systems-minded: you keep clean records and follow consistent processes.
  • "How can I help", jump in and help attitude.
  • You communicate clearly, keep records tidy, and close loops.
