Job Description

Lumax Energy is seeking a disciplined and detail-driven Stock Controller to take responsibility for the accuracy, control, traceability, and integrity of stock across warehouse operations. This role is critical in ensuring that physical stock, system stock, bin locations, and supporting documentation remain aligned and fully controlled at all times.

The Stock Controller will work closely with the Warehouse Supervisor and Warehouse Manager and will play a central role in supporting receiving, binning, picking, checking, transfers, cycle counts, investigations, and stock reconciliations. The successful candidate must be confident working on stock control and ERP systems, be highly process-driven, and have a strong understanding of how poor stock control impacts operations, dispatch, customer service, and overall business performance.

This is not a purely administrative role. It requires a hands on individual who understands warehouse flow, stock movement discipline, transaction accuracy, and the importance of enforcing stock control procedures in a live operational environment.

Key Responsibilities Stock Accuracy and Control
  • Maintain accurate stock records across all warehouse locations and ensure alignment between physical stock and system stock
  • Monitor and control stock movements, including receipts, bin transfers, issues, returns, reallocations, and adjustments
  • Ensure all stock is correctly identified, labelled, binned, and traceable at all times
  • Verify that stock is stored in the correct locations and that bin discipline is consistently maintained
  • Support and enforce FIFO, batch control, serial control, or other traceability requirements where applicable
System and Transaction Integrity
  • Capture, process, and verify stock transactions accurately on the ERP or stock control system
  • Ensure that all stock movements are supported by the correct and complete documentation
  • Review transactions for accuracy and elevate discrepancies, omissions, or non compliance immediately
  • Assist in maintaining the integrity of item codes, bin locations, stock statuses, and related system controls
  • Work confidently on ERP platforms such as K8, Syspro, or similar systems used to manage stock movements and balances
Stock Reconciliations and Variance Investigations
  • Perform cycle counts, spot checks, and support full stock counts in line with company requirements
  • Reconcile physical stock to system stock and investigate all variances thoroughly
  • Identify likely causes of stock discrepancies, including binning errors, unprocessed movements, picking errors, receiving errors, or documentation issues
  • Prepare clear variance feedback and support corrective actions to prevent repeat issues
  • Ensure stock adjustments are properly authorised, justified, and accurately processed
Receiving, Dispatch, and Warehouse Support
  • Support receiving controls by verifying inbound quantities, descriptions, and documentation before stock is accepted into the system or warehouse
  • Support dispatch controls by ensuring stock issued matches approved documentation and system records
  • Work closely with receiving, picking, checking, and dispatch teams to reduce stock errors and improve control
  • Assist in ensuring that no stock is moved, issued, or relocated without proper process compliance
  • Help maintain order, discipline, and stock visibility across all warehouse areas
Traceability, Compliance, and Loss Prevention
  • Maintain full traceability of stock movements and ensure supporting documents are complete, accurate, and easily retrievable
  • Help prevent stock losses through strong procedural control, routine verification, and escalation of irregularities
  • Identify risks relating to damaged stock, misplaced stock, poor labelling, incorrect binning, duplicate transactions, or unauthorised movements
  • Support compliance with internal procedures, stock control rules, audit requirements, and good warehouse practice
  • Assist in preparing for internal audits, external audits, stock reviews, and management reporting requirements
Reporting and Communication
  • Provide timely feedback on stock variances, control issues, risk areas, and stock related operational concerns
  • Prepare basic stock control reports, count feedback, reconciliation summaries, and investigation findings as required
  • Escalate recurring stock problems or control weaknesses to the Warehouse Supervisor or Manager
  • Communicate clearly with warehouse staff and help reinforce the importance of stock accuracy and process compliance
Team Support and Accountability
  • Work collaboratively with warehouse teams while maintaining an independent and control focused mindset
  • Support the training and correction of staff where stock handling or process discipline is weak
  • Lead by example in accuracy, attention to detail, process adherence, and accountability
  • Take ownership of stock control responsibilities and contribute to a culture of discipline, traceability, and operational reliability
Minimum Requirements
  • Matric (Grade 12) is required
  • Minimum 1 to 2 years of traceable experience in a Stock Controller role or closely related stock control function
  • Practical experience working on an ERP or stock control system such as K8, Syspro, or similar
  • Experience with stock counts, cycle counts, reconciliations, stock movements, and variance investigations
  • Sound understanding of warehouse stock flow, binning, traceability, and transaction accuracy
  • Experience working with warehouse documentation such as GRNs, transfer documents, pick slips, PODs, and stock adjustment records
  • Computer literate, with working ability in Microsoft Excel, ERP navigation, and stock related system processing
  • Able to use handheld scanners and other stock tracking tools where required
  • Able to read, write, and communicate effectively in English
