About the role. The SHEQ Administrator supports the implementation, maintenance, and continuous improvement of the company's SHEQ (Safety, Health, Environment, and Quality) management systems. This role ensures accurate documentation, data integrity, and compliance with relevant standards and regulations. A key responsibility includes the administration and upkeep of SHEQ management software, as well as supporting product compliance activities to ensure regulatory and customer requirements are met.
- Maintain and update SHEQ management software (e.g., document control, incident reporting, audit tracking, access and permissions).
- Coordinate with project teams to ensure timely submission and approval of documents.
- Coordinate and monitor project activities to ensure timely implementation and closure of all assigned actions.
- Support users with troubleshooting and training on system functionalities.
- Generate reports and dashboards as required.
- Manage controlled documents including procedures, policies, specifications, and forms.
- Ensure timely review, approval, and distribution of updated documents.
- Archive obsolete documents in accordance with company policy.
- Assist in the preparation and coordination of internal and external audits.
- Track non-conformances, corrective actions, and improvement initiatives.
- Maintain records of calibration, inspections, and quality checks.
- Assist in compiling and maintaining product compliance documentation (e.g., SDSs, technical data sheets, certificates).
- Support regulatory submissions and updates for product registrations.
- Coordinate with suppliers and internal teams to gather compliance data.
- Monitor changes in relevant regulations and standards affecting product compliance.
- Maintain records of product testing, approvals, and certifications.
- Ensure compliance with ISO standards (e.g., ISO 9001, ISO 14001, ISO 45001).
- Support SHEQ inductions and awareness campaigns.
- National Senior Certificate / Matric / 12 Certificate (Completed)
- Diploma or degree in Quality Management, Engineering, Business Management, or a related field is advantageous but not required.
- Certifications in ISO standards (e.g., ISO 9001, ISO 14001) will be considered a strong asset.
- Minimum of 2-3 years' experience in a SHEQ administration or SHEQ support role, preferably within a manufacturing or chemical environment. Experience with SHEQ management systems, document control, and product compliance processes.
- SHEQ system administration, document control, and regulatory compliance, with a solid understanding of ISO standards and chemical product regulations such as GHS and REACH.
- Strong administrative and organizational skills.Proficiency in Microsoft Office Suite.
