Sales Administration Assistant
Job Description
The Sales Administration Assistant position is a permanent position based in Wellington. This position will be part of the Sales Administration department and will involve a variety of administrative support activities, including processing sales orders, managing invoicing and stock control, and serving as a key point of contact regarding delivery timelines. The role ensures accuracy, smooth order flow, and high levels of customer satisfaction within a fast-paced agricultural environment.
Main Responsibilities- Receive, capture, and process purchase orders on an ongoing basis.
- Verify pricing, discounts, product availability, and customer details.
- Liaise with Agriculturists and operations to ensure orders are fulfilled correctly.
- Generate and issue invoices in accordance with company procedures, and ensure all supporting documentation is complete and accurate.
- Follow up on invoice queries in coordination with the Finance department.
- Inventory management by scheduling monthly depot counts and driving resolution on stock variances through stock reconciliations.
- Identify and report stock discrepancies, shortages, or variances.
- Coordinate with warehouse and logistics teams regarding stock availability.
- Handle client queries telephonically and via email in a professional manner.
- Provide accurate feedback on order status and estimated times of arrival (ETAs).
- Resolve customer issues related to orders, deliveries, and invoicing.
- Maintain accurate sales, stock, and client records.
- Assist with sales and stock reports as required.

- National Senior Certificate
- Diploma in Administration or any other relevant tertiary education will be advantageous
- 3-5 years of experience in sales administration or a similar role
- Experience with inventory reconciliations
- Experience with ERP / stock management systems
- Experience with invoicing and stock control processes
- Knowledge of logistics or supply chain
- Experience in the agricultural industry would be advantageous
- Full professional proficiency in Afrikaans and English (speaking and writing)
- High proficiency in Microsoft Suite (Word, Excel, PowerPoint)
- Proficiency in at least one accounting software (Sage, Pastel, etc.)
