Regional Office Administrator/ Receptionist

CCG Systems (Pty) Ltd is a dynamic, innovation-driven company specializing in the sale, implementation, training, and support of ERP systems, including in-house developed modules tailored for public and private sector clients. With a team of 200 employees across 5 regional offices, we serve clients both onsite and remotely.

The role is responsible for welcoming visitors, operate and manage the switchboard, answer enquires, and provide information to the general public. The incumbent is also responsible for maintaining the office administration process which includes taking messages, arranging travel bookings, car hire, accommodation and flights.

  • Attendto emails and staff queries
  • Maintain office supplies (stationery, kitchen & cleaning supplies)
  • Maintain supplies for company flats (cleaning supplies, laundry etc)
  • Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling relevant appointments
  • Keep the reception area in a clean, tidy and welcoming condition, always aware that the reception plays a vital role in promoting the image of the company to visitors
  • Advise the relevant department when parcels arrive so that the responsible person can accept and sign for the delivery
  • Provide information to customers about the company, such as location of departments or offices, employees within the organization, or services provided
  • Place lunch orders for executives with the appropriate supplier
  • Greet persons entering the building, determine the purpose of visit, and direct or escort them to specific destinations
  • Coordinating of full office stationery requirements
  • Forward original invoice to finance department to process / capture for monthly payments
  • Issue invites to delegates for all events and meetings arranged by the company (e.g., project initiation and kick-off meetings, user group workshops, regional office meetings, etc)
  • Filing of all documentation
  • Manage travel arrangements pertaining to flights, accommodation and car hire for all CCG Systems staff and contractors as required
Must Have
  • Senior Certificate (NQF4) or equivalent
  • Office administration /Secretarial certificate (added advantage)
  • Valid Code B drivers License and own transport
  • Passed credit and criminal checks
  • S.A Citizen, resident or Valid S.A work permit
Nice to have
  • High proficiency in English
  • Excellent communication and interpersonal
  • Knowledge of MS
  • 2 - 3 years related experience in similar role
