PROJECT OFFICE ADMINISTRATOR Mission

The Project Administrator and O2C Support play a key role in ensuring the smooth execution of telecom projects and the efficient management of the Order to Cash (O2C) process. This role supports end to end project coordination, documentation control, order processing, and billing accuracy, contributing directly to project delivery timelines and customer satisfaction. The ideal candidate is detail oriented, organized, and comfortable working across cross functional teams including Sales, Delivery, Finance, Supply Chain, and Operations, while proficiently using internal systems such as WebCIP, OneProject, and SAP to manage project and order lifecycles. The candidate will also be required to be comfortable and proficient in reviewing PNL's ensuring accuracy and alignment on IBC while being able to track actuals monthly.

Main Responsibilities Project Administration
  • Provide administrative and operational support to project managers and technical teams across multiple telecom projects.
  • Coordinate project documentation using WebCIP and OneProject for project tracking, updates, and milestone reporting.
  • Track project milestones, deliverables, and dependencies using PM tools (e.g., MS Project, Excel, or internal systems).
  • Maintain accurate project records and ensure all required documentation is uploaded to the project repository.
  • Prepare project status reports, dashboards, and presentations for internal stakeholders and clients.
  • Schedule and minute project meetings, ensuring action items are tracked to completion.
  • Support project governance and ensure compliance with internal and customer processes.
  • Assist with the creation of Standard Operating Procedures for all projects.
  • Liaise with staff on capturing their time within the deadline.
Order to Cash (O2C) Support
  • Manage the full O2C cycle from order validation to invoicing, ensuring accuracy and adherence to contractual terms.
  • Capture and maintain customer orders in the ERP system (e.g., SAP, Oracle, or equivalent).
  • Work with WebCIP and OneProject to align project progress with billing readiness.
  • Liaise with Sales, Delivery, and Finance teams to ensure timely project billing and revenue recognition.
  • Monitor order progress and delivery timelines, resolving order or data discrepancies as they arise.
  • Support month end closing activities, billing runs, and reconciliations.
  • Provide support in collections and customer query resolution when required.
Cross functional Support

Act as a bridge between project and finance teams, ensuring project status aligns with invoicing and cash flow.

  • Assist with audit preparations, compliance checks, and internal reporting requirements.
  • Contribute to continuous process improvement in project administration and O2C workflows.
  • Join Daily Stand Ups and track employee attendance, raising any issues the teams may be experiencing to the Operations Team.

Education and Experience
  • National Diploma or bachelor's degree in project management, Business Administration, Finance, or related field.
  • 2-4 years' experience in project coordination or administration within a telecommunications or technology environment.
  • Hands on experience with WebCIP and OneProject tools is essential.
  • Working knowledge of the Order to Cash process (order entry, billing, and collections).
  • Experience with ERP systems such as SAP, Oracle, or similar is preferred.
  • Strong MS Office skills, particularly Excel, PowerPoint, and Outlook.
