The Portfolio Manager is fully accountable for the effective, compliant, and profitable management of an allocated commercial property portfolio. This includes leasing strategy and execution, financial and budget control, operational oversight, stakeholder management, and leadership of the administrative support team to ensure optimal asset performance and client satisfaction.

Leasing & Vacancy Management
  • Proactively manage vacancy schedules and lease expiry reports on a weekly basis
  • Engage brokers monthly and follow up regularly on leasing progress
  • Develop and implement leasing strategies, including tenant mix optimisation
  • Initiate lease renewals at least 6 months prior to expiry
  • Negotiate new leases and renewals in line with owner mandates
  • Conduct property viewings with prospective tenants and brokers
  • Oversee preparation and approval of Offers to Lease, Renewal Letters, and Lease Agreements
  • Ensure leases are finalised before occupation or lease expiry
  • Ensure vacant premises are presented in a market ready condition
Financial Management, Budgets & Reporting
  • Capture and validate budgets for new properties on MRI / Foresight
  • Update monthly working budget projections and income variance reports timeously
  • Prepare draft annual budgets at least 60 days before financial year end
  • Secure owner approval of budgets at least 30 days before year end
  • Ensure approved budgets are accurately loaded into systems
  • Provide monthly financial and operational reports to clients
  • Analyse performance against IPD benchmarks, including costs/m , recoveries, vacancies, and income growth
Repairs, Maintenance & Facilities Oversight
  • Conduct regular property inspections, including tenant installations and refurbishments
  • Authorise contractor appointments in line with procurement policies
  • Oversee daily performance of service providers (cleaning, security, maintenance, etc.)
  • Ensure all maintenance is actioned timeously and correctly logged
  • Monitor quality, costs, and SLA compliance
Debtors & Creditors Management
  • Review arrears weekly with the Debtors Administrator and provide guidance
  • Ensure arrears (excluding legal accounts) are maintained within acceptable thresholds
  • Liaise monthly with attorneys on handed over accounts
  • Authorise creditor payments within 1 business day
  • Ensure weekly creditor payment releases are completed as scheduled
  • Ensure accruals are processed where invoices are outstanding
Client, Tenant & Stakeholder Management
  • Respond to client and tenant queries within 24 hours
  • Maintain strong professional relationships with landlords, tenants, and brokers
  • Represent the company at meetings and site visits
  • Ensure service delivery aligns with client expectations and mandates
Team Leadership & Professional Conduct
  • Manage, guide, and support administrative staff assigned to the portfolio
  • Monitor performance, productivity, and accuracy of support staff
  • Promote teamwork, accountability, and service excellence
  • Maintain high standards of professionalism, ethics, and timekeeping
Requirements
  • BCom or minimum 3 years' commercial property management experience
  • BSc Property Studies (advantageous)
  • Property Management Diploma or SAPOA qualification
  • SAPOA Property Introductory Programme (PIP)
  • Certificate in Shopping Centre Management (advantageous)
  • PPRA Registered
  • Advanced financial and budgeting capability
  • Excellent negotiation and stakeholder management skills
  • Proficiency in MRI / Foresight property systems
