Patient Coordinator - U.S. Clinic Operations
Job Description
We are seeking a compassionate and highly organized Patient Coordinator to support a rapidly growing healthcare practice. This role is central to ensuring patients receive a smooth, caring experience while allowing our clinical team to focus on what matters most-direct patient care.
Our practice is expanding quickly, including the opening of a new 7,200 sq ft facility and an upcoming location in Alabama. As we grow, maintaining a personal, relationship-centered patient experience is critical to our brand. The Patient Coordinator will play a key role in making that happen.
What You'll Do Patient Communication & Support- Answer incoming patient calls and provide friendly, helpful support
- Assist patients with scheduling and follow-up appointments
- Ensure patients feel heard, supported, and cared for in every interaction
- File and manage patient labs
- Schedule follow-ups and manage appointment calendars
- Maintain accurate records in our EMR system (Cerbo)
- Manage and update patient information in ActiveCampaign
- Track marketing sources and patient inquiries
- Manage and communicate with a waitlist of 600+ prospective patients
- Help maintain smooth daily operations so providers can focus on patient care
- Support a full-time schedule including Mondays to help reduce high Tuesday call volumes
- Exceptional empathy and patient communication skills
- Highly organized with strong attention to detail
- Proactive problem-solver who takes initiative
- Comfortable working with healthcare systems and patient records
- Tech-comfortable and able to manage CRM/EMR platforms
- Able to handle a fast-paced environment with warmth and professionalism
