The Operations Coordinator is a hybrid operational support role central to the seamless behind-the-scenes functioning of the safari business and Safari Essentials merchandise division.

This highly organised and proactive individual supports guest logistics, internal safari administration, office operations, and merchandise stock management - ensuring smooth coordination between safari operations and retail/e-commerce channels.

The role requires exceptional attention to detail, strong communication, and the ability to manage multiple moving parts in a luxury environment.

1. Safari & Office Operations Administration

Assist with internal guest travel logistics (transfers, flights, tracking systems).

Prepare and organise guest documentation (passports, dietary requirements, special requests).

Maintain accurate calendars, trackers, and workflow systems.

Support office operations including logistics, presentation, and supplies.

Use Google Workspace, Slack, Asana, and related tools for task management.

Provide general administrative and operational support as required.

Curate and oversee creation of Safari Packs for clients and VIP guests.

Maintain accurate inventory across retail outlets and Shopify.

Monitor stock levels and coordinate reorders proactively.

Conduct weekly retail check-ins to ensure brand standards are upheld.

Coordinate couriers, postage, packaging, and transport logistics.

Assist with stock takes, invoicing, and payment coordination.

Liaise between retail outlets and the internal team.

Requirements

Exceptional organisational ability and task prioritisation skills.

Strong written and verbal communication skills.

High level of computer literacy and comfort with digital platforms.

Meticulous attention to detail and accuracy.

Ability to work independently and take initiative.

Strong understanding of confidentiality and discretion.

Ethical mindset aligned with sustainable tourism principles.

Experience in travel, retail operations, or e-commerce advantageous.

Guest logistics run smoothly and accurately behind the scenes.

Safari Essentials stock is proactively managed and beautifully presented.

Strong communication between safari operations and retail teams.

High standards of organisation and professionalism maintained.

  • Work from office in Hoedspruit
  • R15,000 - R25,000 depending on specific experience and suitability to the role
  • Annual bonuses related to gross profit targets, and a group retirement annuity plan - these incentives kick in once an initial probation period has passed and are subject to certain terms and conditions
