About the Role

We are seeking a highly organised and detail-oriented Logistics Support Officer to join our logistics team. This is a behind-the-scenes operational role focused on enhancing the accuracy, efficiency, and overall quality of itinerary delivery. You will play a critical role in supporting consultants by managing administrative and data-driven tasks, primarily within the Safari Portal platform, ensuring all itineraries are complete, consistent, and guest-ready well ahead of travel. This role is ideal for someone who thrives on structure, precision, and process-driven work, and who enjoys contributing to seamless travel experiences from an operational perspective.

Key Responsibilities Safari Portal Management
  • Take ownership of finalising and fully populating itineraries within the Safari Portal
  • Gather, verify, and input all relevant travel information including guest details, flights, transfers, accommodation, and documentation
  • Ensure all itineraries are complete and updated at least 60 days prior to travel
  • Maintain consistency, accuracy, and high-quality formatting across all entries
  • Identify and resolve missing or inconsistent data, escalating where necessary
  • Manage agent notifications and proactively initiate guest messaging within the platform
Quality Control & Itinerary Validation
  • Conduct thorough final checks across all itinerary components
  • Ensure alignment between costing sheets, supplier confirmations, and portal entries
  • Verify supplier rates, inclusions, and logistical details
Document & Information Administration
  • Upload and organise all guest documentation for FIT and group bookings
  • Maintain a comprehensive and well-structured "travel wallet" with all relevant files (itineraries, invoices, vouchers, etc.)
  • Ensure documents are clearly labelled, securely stored, and easily accessible
  • Store guest-provided documentation within internal systems (e.g., OneDrive)
Supplier Information Support
  • Confirm supplier details, rates, and inclusions are accurately reflected
  • Update supplier information as required
  • Work with consultants to ensure all updates are consistently applied
Cross-Team Coordination
  • Collaborate with consultants, guides, and finance teams to clarify itinerary details
  • Work closely with management for task allocation and prioritisation
Continuous Improvement & Standards
  • Maintain high-quality standards across all itinerary outputs
  • Identify workflow inefficiencies and suggest improvements
  • Stay up-to-date with Safari Portal updates, tools, and best practices, sharing insights with the team
Skills & Experience
  • Exceptional attention to detail and accuracy
  • Strong organisational and time management skills
  • Ability to work independently and manage priorities effectively
  • High level of digital proficiency (Safari Portal experience advantageous but not essential)
  • Process-driven with a commitment to quality and consistency
  • Comfortable working with repetitive, detail-focused tasks
  • Strong team collaboration skills
  • Understanding of the travel industry and logistics processes is advantageous
