IntroductionWe are looking to recruit a permanent GRN Clerk - Wholesale Receiving to work for United Pharmaceutical Distributors (UPD). The role will be based at the Lea Glen Branch and will report to the Warehouse Supervisor.
MAIN PURPOSE OF THE JOB (Overall objective) :
• Obtain the ASN (Advanced Shipping Notice) in order to confirm the receipt of the products as per the Purchase Order.
• Ticking of invoices after stock has been GRN'd, and balancing of invoices, daily.
• Processing pricing claims for where invoices do not balance, by investigating these invoices.
KEY PERFORMANCE AREAS :
• Ensure that an ASN (Advanced Shipping Notice) is generated, if not already supplied by the Supplier.
• Ensure that products are accurately captured/GRN'd on the UPD Knapp system.
• Ensuring that Supplier, product Batch, expiry and quantity details correspond with PO and ASN.
• Ensure that the claim is logged/ generated for any discrepancies, such as shorts, over-supply, damages or wrong stock, within 48 hours of receipt of the products and reported to the Department Head and Buying Department, as this affects the GRIR (Goods Receipt Invoice Receipt) process ticking.
• Report any breakages/ spillages are to Department head and Pharmacist and record and clean up immediately in terms of UPD SOP.
• Ensure that invoices are received the day after the GRN process has been completed.
• To balance any invoices that do not balance due to pricing issues and logging claims where necessary. Liaising with the Buyers when needed.
• In the event of incorrect GRN, to hand the invoice back to the Receiving Supervisor, to get the GRN completed immediately, whether it is capturing or logging of claims for shorts, incorrect stock or damages.
• Obtaining authorization through the GRN Supervisor, from The Department Manager, for CST processing when and if needed.
• Adhering to Health and Safety procedures.

• Matric/ Grade 12 or Abet level 4

EDUCATION AND QUALIFICATION:
- Matric/ Grade 12/ Abet level 4 (Essential) with Accounting and Mathematics.
- 1 years experience in the Pharmaceutical industry, preferable.
EXPERIENCE:
- 1 Year experience in Pharmaceutical Industry, preferred.
- Financial background / understanding would be beneficial
