A premium coworking space for mothers with small children is seeking a highly organised, composed, and warm Front-of-House & Operations Coordinator to oversee the daily operations. This role is offered on a fixed-term contract for 3 months.

This is a foundational role. The person in this position will hold the operational rhythm, managing a complex booking system, coordinating multiple moving parts, and ensuring a calm, professional experience for members and visitors.

This ideal candidate is systems-oriented, people-savvy and thrives in environments where organisation and attention to detail are essential.

Member and Visitor Experience:

  • Act as the first point of contact for members, visitors, and partners
  • Manage daily check-ins and create a calm, welcoming arrival experience
  • Handle enquiries via email, WhatsApp, and in person with professionalism and warmth
  • Communicate clearly with members regarding bookings, availability, and houseguidelines

Bookings, scheduling and organisation

  • Manage and administer a multi-layered booking system, including:
  • Memberships
  • Meeting rooms

Coordinate daily schedules between members, caregivers, and shared spaces

Track availability and capacity across the space and proactively flag conflicts

Maintain clear records and ensure bookings are accurate and up to date

Operational Coordination:

  • Oversee the smooth day-to-day running of the space
  • Coordinate multiple moving parts simultaneously: members, babies, caregivers, rooms,service providers
  • Liaise with caregivers, cleaners, and external service providers
  • Support operational admin, including basic reporting, records, and coordination withfinance
Requirements

Key Skills and Experience

  • Experience in operations, office management, hospitality, or member-based environments
  • Familiarity with environments involving children or families
  • Strong organisational skills with exceptional attention to detail
  • Proven ability to manage complex booking systems and schedules
  • Comfortable coordinating multiple moving parts in a fast-paced environment
  • Confident using digital tools, calendars, and operational systems
  • Clear, professional communicator (written and verbal)
  • Calm, emotionally intelligent, and composed under pressure
  • Experience working independently with a high degree of responsibility
