Job Description

Position: Fleet Operations Coordinator

Responsibilities
  • Maintain full operational oversight of all fleet and mobile assets.
  • Ensure assets are available, fit-for-purpose, and correctly allocated to operational departments.
  • Maintain accurate and up-to-date asset registers and relevant records.
  • Ensure vehicles and equipment are maintained in a neat, roadworthy, and professional condition.
  • Ensure all fleet and mobile assets comply with applicable legislation, licensing, roadworthiness, and safety regulations.
  • Track traffic violations and incident reports per asset.
  • Investigate fleet-related safety incidents and ensure corrective actions are implemented.
  • Ensure vehicles and equipment are inspected, compliant, and safe through daily checks, audits, corrective actions, and record-keeping.
  • Coordinate inventory and procurement to ensure spare parts and consumables are available for maintenance and operational needs.
Preventative Maintenance Planning & Coordination
  • Develop, implement and manage preventative maintenance schedules for all fleet and mobile assets.
  • Coordinate scheduled services, repairs, and breakdowns with internal and external service providers.
  • Track maintenance compliance and follow up on overdue or missed services.
  • Monitor downtime and escalate risks impacting operational continuity.
  • Maintain detailed maintenance records.
  • Manage suppliers, RFQs/tenders, and fleet costs by comparing pricing and service, tracking expenses, assisting with budgets, and identifying savings opportunities.
Reporting, Monitoring & Analysis
  • Provide daily feedback on fleet and equipment status, availability, and defects.
  • Responsible for weekly and monthly reporting and various metrics.
Health and Safety
  • Participate in safety forums and attend relevant training/programmes.
  • Report all safety incidents to the relevant people.
  • Comply with safety policies and procedures.
  • Wear protective clothing (where applicable) at all times.
Employee management and development
  • Ensure overall compliance to relevant procedures and policies.
  • Ensure that all team members have clearly defined job profiles.
  • Regular goal reviews are completed to assess achievement of results.
  • Support, coaching and mentoring is continuously provided to ensure that objectives are met.
  • Appropriate allocation of resources to meet operational demands.
  • Ensure adequate succession planning in order to meet ongoing and anticipated business requirements.
Requirements

Qualification and Experience

  • Grade 12
  • Relevant tertiary qualification preferred
  • Relevant fleet management working experience preferred

Knowledge, Skills and Attributes

  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in fleet management software and Microsoft Office Suite.
  • Detail-oriented with strong problem-solving skills.
  • Ability to work independently and as part of a team.
  • Persists in overcoming barriers.
  • Goal and service-orientated strong team player.
  • Planning and organising.
