An established organisation operating within the mining, inspection, and geoscience sector is seeking a highly capable Executive Secretary to support senior leadership. The business provides specialised inspection services and laboratory testing solutions to mining operations, ensuring accurate material grading and compliance through both field-based and laboratory analysis.
This role goes beyond traditional administrative support and requires an individual with a solid understanding of the mining or related technical environment. The successful candidate will act as the first point of contact for executive directors, providing informed support, anticipating requirements, and communicating in alignment with leadership expectations. The position demands a professional who can operate with discretion, initiative, and a strong grasp of industry dynamics.
Minimum Requirements:- Grade 12 (Matric)
- Relevant qualification in Business Administration, Office Management, or similar (advantageous)
- 3-5 years' experience in an Executive Assistant / Secretary role
- Exposure to the mining, inspection, laboratory, or geoscience industry (highly advantageous)
- Strong understanding of executive-level support and business operations
- Excellent verbal and written communication skills
- High level of professionalism, discretion, and confidentiality
- Strong organisational and time management skills
- Ability to anticipate executive needs and act proactively
- Valid driver's license and willingness to travel when required
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Provide full executive support to multiple Executive Directors
- Act as the first point of contact for executives, managing communication and priorities
- Draft, review, and respond to correspondence on behalf of leadership
- Coordinate and manage executive schedules, meetings, and appointments
- Prepare reports, presentations, and documentation for internal and external use
- Liaise with internal teams, clients, and stakeholders in a professional manner
- Maintain accurate records, filing systems, and confidential documentation
- Assist in decision-support by understanding business needs and industry context
- Travel with or on behalf of executives when required
- Support operational coordination across different regions when necessary
- Ensure smooth day-to-day administrative and executive office operations
