Executive Assistant to the CEO
Job Description
A fast-growing SaaS company operating in the operational intelligence space, is looking for an exceptional remote Executive Assistant who thrives in fast-moving environments and understands that supporting a CEO goes beyond calendar management.
This role blends high-level executive support with structured operational tracking to ensure the business runs with clarity and momentum. This position is approximately 70% Executive Assistant and 30% operational tracking and reporting.
You will serve as the CEO's right hand - ensuring priorities stay aligned, commitments are met, and performance visibility remains clear across the organisation.
This is not a traditional EA role. It requires strong organisational instincts, confidence with data, and the ability to keep systems running smoothly without needing constant direction.

You will:
- Own task & priority management - Track CEO commitments, organise priorities, and ensure nothing falls through the cracks
- Manage a complex, multi-time-zone calendar - Coordinate meetings while protecting focused work time
- Coordinate international travel - Flights, accommodation, logistics, and scheduling
- Prepare meeting briefs & capture action items - Ensure follow-through and accountability
- Act as communication bridge - Liaise between the CEO and team members across countries and time zones
- Manage inbox & correspondence - Triage emails, draft responses, and surface priority items
- Maintain document systems - Keep Google Drive Structured, searchable and organised
Operational Tracking & Reporting (30%)
This is what elevates the role beyond a standard EA position.
You will maintain the company KPI and performance tracking framework - not managing people, but ensuring leadership always has a clear, factual view of performance.
You will:
- Maintain and update a Google Sheets-based performance dashboard across all employees
- Collect performance updates from team leads on a fortnightly cadence
- Prepare CEO-ready summaries highlighting who is on track, behind, and emerging trends
- Monitor probation timelines and ensure milestone check-ins occur
- Maintain organised employee documentation (contracts, role descriptions, KPIs)
- Support recruitment by helping define roles, post job ads, screen applications, and coordinate interviews
- Relevant tertiary qualification preferred.
- Proven experience supporting a Founder or C-level executive, ideally in a 20-80 person startup or SME
- Exceptional organisational skills
- A proactive mindset
- Working knowledge of Google Workspace
- Strong Google Sheets capability (comfortable building and maintaining dashboards, not just data entry)
