This is a rare and trusted Executive Assistant opportunity at the heart of a high-performing executive office, supporting a Managing Director of a leading international business. The successful candidate will be a steady, professional presence who protects the MD's time and reputation, manages competing demands with ease, and ensures executive operations run seamlessly at all times.
The role is predominantly corporate in nature (approximately 80%), with the remaining 20% extending to select personal and family schedule support - a responsibility that calls for absolute discretion, good judgement and a genuine service orientation.
Day-to-day, you will engage closely with the Board (4 directors) and a Senior Leadership Team of 11 members across 7 departments, while also overseeing housekeeping vendors and the reception function.

Key Responsibilities
- End-to-end management of all company travel through service providers - covering flights, accommodation, visas, vehicle hire and expense consolidation, including international travel and disruption management
- Serve as the professional gatekeeper to the MD's office, managing access while preserving time and priorities
- Provide dedicated administrative support to the Board and Executive Management team - preparing agendas, meeting packs, minutes and tracking action items through to completion
- Assist with managing approximately 20% of the MD's personal and family scheduling commitments
- Oversee day-to-day office operations across a 1300+ m facility, including service providers and the reception team - with a focus on mentorship, efficiency and consistent delivery
- Comprehensive executive diary management and workflow prioritisation for the MD
- Coordinate office events, company functions and quarterly Townhall meetings from concept to execution
- Handle budget oversight, credit card reconciliation and liaison with HR and Finance on expense-related matters
- Support executive communications and draft correspondence on behalf of the MD as required
- Maintain constructive, solution-oriented relationships with colleagues across all departments
- Uphold internal governance standards and QMS compliance requirements
- Proactive self-starter with the ability to work independently and exercise sound judgement under pressure
- Bilingual proficiency in both Afrikaans and English - written and verbal - at an advanced level
- 5-10 years of demonstrated experience in a senior or C-suite executive support role
- Highly detail-oriented with proven strength in travel management, including complex international logistics and real-time problem-solving
- Exceptional written and verbal communication skills paired with strong organisational and administrative ability
- High emotional intelligence and a natural service orientation - genuinely motivated by enabling the MD to perform at his best
- Solid experience working with Board and Executive Management team processes
- Emotionally resilient, confident and mature - able to navigate senior leadership environments with professionalism and composure
- Presentable, with inherently high personal and professional standards suited to a premium brand environment
- Long-term commitment mindset - this is a role for someone who wants to plant roots, not pass through
- Advanced proficiency across Microsoft Office (Outlook, Word, Excel, PowerPoint) and strong document management capabilities
- Exposure to QMS or governance compliance frameworks
- Bachelor's degree or equivalent tertiary qualification
- Comfort and enthusiasm for event and function coordination (e.g., Mandela Day, internal company events)
- Background in a global or internationally focused business environment
