The position reports to the Procurement Operations Manager and is part of the Procurement team at Astron Energy which is responsible for procurement of all goods and services to support its operations in South Africa and Botswana. Key Responsibilities : Provide guidance to the business on the optimum Incoterm to support the shipment Coordinate shipments with suppliers Evaluate and recommend corrective actions to ensure that shipments will arrive on site in accordance with schedule requirements Issue shipping instructions to the freight forwarder in accordance with the approved mode of shipping Proof read, amend and approve shipping documents to ensure compliance with Astron Energy shipping guideline as well as international shipping requirements Close coordination with the freight forwarder to ensure timely delivery of all shipments Plan and coordinate consolidated shipments, where possible, to maximize cost savings Raise PRs to freight providers to cover the associated shipping an/or freight charges agreed within the equipment PO. Track the collection, booking, shipping, arrival and delivery of all shipments Establish and maintain logistics dashboard for open shipments, delivery performance and freights costs. Ensure compliance with all of Astron Energy policies, practices and standards Ensure the smooth clearance of goods by the customs agent. Assist with the collection / preparation / reviewing of documentation. Liaise with the freight forwarder, customs agent and logistics partners to ensure compliance with import / export regulations. Monitor shipment statuses and resolve any business owned customs related queries. Request and maintain accurate records to support audits or inspections as required Assess supplier performance against contract terms and KPIs. Facilitate regular engagements with contracted logistics contractors to anticipate and address potential and actual challenges. Identify possible risks (and mitigations) and / or opportunities in key supplier relationships through joint contingency planning with business users. Core Technical Competencies : Supply Chain Management Knowledge : A deep understanding of the entire supply chain process, from sourcing and procurement to final delivery and reverse logistics. Transportation Management : The ability to plan and manage the movement of goods, including carrier selection, route optimization (for cost and speed), and ensuring compliance with national and international transport and safety regulations. Technical Proficiency : Knowledge of Enterprise Resource Planning (ERP) systems such as SAP and Coupa. Data Analysis and Reporting : The capability to interpret Key Performance Indicators (KPIs), analyze operational data to identify trends and inefficiencies and make data-driven decisions for continuous improvement. Global Trade Compliance : Knowledge of import/export laws, customs documentation, duties, and tariffs to manage international shipments and reduce legal risks. Qualifications & Experience: Educational Qualifications: Diploma/Advanced certificate in Supply Chain Management, Logistics, Engineering, Business Administration, or a related field. Work Experience: A minimum of 3-5 years of procurement experience in a logistics environment and preference of experience in the petrochemical, energy or related industries.Experience in dealing with Customs DocumentationExperience in dealing with freight forwardersExperience of International Shipping Terms (Incoterms) Knowledge & Skills: MS Office Proficiency: Skilled in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.Procurement systems: Knowledge of ERP.Operational Excellence: Expert in optimizing operational processes to achieve supply chain efficiency and effectiveness.Supplier and Stakeholder Relationship Management: Strong skills in managing supplier relationships to drive performance and collaboration and good communication and organizational skills to effectively communicate with internal stakeholders.Ability to collaborate across departments and manage multiple tasks effectively under tight deadlines.Astron Energy is a leading supplier of petroleum products in South Africa, with a vast network of Caltex-branded service stations that make us one of the country's top two petroleum brands.
