Overview

We are seeking a detail-oriented, organized Virtual Assistant to support an independent artist and creative professional. This role will initially focus on research, scheduling, and administrative support, with the opportunity to expand into billing, basic bookkeeping, website updates, and social media coordination as the business grows.

This is an ideal role for someone who is comfortable with online research, organizing information, and proactive planning, and who enjoys supporting creative professionals behind the scenes.

Core Responsibilities (Immediate Priorities)
  • Research & Opportunity Tracking
    • Research and identify relevant art shows, exhibitions, and creative events (local, national, and online)
    • Compile and organize event details including:
    • Event dates and locations
    • Submission deadlines
    • Fees and requirements
    • Target audience and credibility of the event
    • Present findings in a clear, structured format to support decision-making
  • Scheduling & Weekly Planning
    • Assist with weekly planning and time management
    • Help structure the week ahead by:
    • Organizing priorities
    • Scheduling dedicated work blocks
    • Maintaining calendars and timelines
    • Coordinate schedules and ensure deadlines are tracked and met
  • Administrative Support
    • Maintain organized spreadsheets or databases to track:
    • Events researched
    • Submissions
    • Contacts
    • Deadlines and follow-ups
    • Create and maintain templates for tracking and reporting
Secondary / Future Responsibilities (Added Over Time)
  • Billing & Clerical Support
    • Assist with sending invoices and basic billing tasks
    • Maintain simple records for payments and transactions
    • Support improved organization of financial and administrative workflows
  • Website Support (Optional / Capability-Based)
    • Perform basic website updates (Wix platform), such as:
    • Updating images and text
    • Refreshing content based on direction
    • Support ongoing website organization and optimization (no full website development required)
  • Social Media & Online Presence (Optional)
    • Assist with basic social media coordination, including:
    • Scheduling posts
    • Uploading content
    • Maintaining consistency across platforms
    • Support content organization based on provided direction (creative strategy handled separately)

Tools & Skills

  • Strong online research skills
  • Experience with spreadsheets (Google Sheets or Excel)
  • Familiarity with calendar and scheduling tools
  • Excellent organizational and documentation skills

  • Experience working with creative professionals or artists
  • Familiarity with Wix or basic website management
  • Basic knowledge of invoicing or bookkeeping processes
  • Experience supporting social media scheduling or content uploads

$1,100 - $1,100 a month

Part-time: 20 hours per week

Time Zone: Pacific Standard Time (PST)

Schedule to be coordinated weekly based on priorities and upcoming events
