Secretarial/Library Assistant

St. George's University invites applicants for a full-time Secretarial/Library Assistant role, in the Founders Library, beginning 6/1/2026.

Job Description Objective

The Secretarial/Library Assistant provides administrative support to the Library Director and performs paraprofessional library duties in support of the functions of Founders Library, to meet the library and information needs of SGU students, faculty and staff.

Essential Functions Administrative Support Functions
  • Answer telephone calls on the library's direct line.
  • Escort visitors to the Library Director's Office.
  • Schedule meetings, record, and transcribe the minutes.
  • Compose and distribute emails, letters, memoranda, and reports under the direction of the Library Director.
  • Assist in the marketing of library resources and services by preparing displays, brochures, and handouts.
  • Prepare staff schedules, keep track of staff absences and leave requests, and submit overtime forms.
  • Order supplies.
  • Handle maintenance requests.
  • Reproduce library material by photocopying and scanning.
  • Change printer cartridges and troubleshoot simple printer issues.
  • Send and receive faxes.
  • Undertake special projects as directed, to achieve specified outcomes.
  • Perform other library-related and administrative duties as needed.
Technical Service Functions
  • Search and retrieve bibliographic records from OCLC.
  • Edit bibliographic records ensuring RDA compliance.
  • Create links for online bibliographic records.
  • Process books and journals by creating labels and barcodes, affixing security strips and stamping them.
  • Edit records in the integrated library system, EOS.
  • Repair books.
  • Create bibliographic records for the MEDCARIB database.
  • Assist with requests for Booklist items as directed by the Librarian.
  • Assist with serials management as required.
User Services functions when scheduled
  • Perform circulation desk activities including registration of users, issuing loans, checking in items, collecting fines, and issuing receipts.
  • Examine returned items to ascertain the state of their condition and replace library materials in the correct position on shelves.
  • Keep library statistics by recording them on the appropriate forms, in the stipulated timeframes.
  • Assist users in accessing and using print and electronic information resources.
  • Handle reference queries by providing answers to simple ones and referring complex ones to a librarian or a senior library assistant.
  • Make bookings for use of study rooms using the designated online form.
  • Supervise Teaching Assistants (i.e., student library assistants) in the performance of their duties.
  • Conduct floor checks as scheduled, to count users, monitor happenings on the floors, and take corrective action to enforce library rules and policies as needed.

  • Proficiency in the use of Microsoft Office Suite.

  • Ability to work flexible hours including evening/night, weekend and public holiday shifts.
Qualifications and Experience
  • Minimum of an Associate degree.
  • Minimum of three (3) years' experience in a library or service type environment.
  • Any other commensurate qualifications and experience.
Work Environment/Physical Demands
  • This job is performed in a predominantly quiet environment.
  • This role routinely uses standard office equipment such as computers, phones, and photocopiers.
  • Although largely sedentary, the employee is occasionally required to stand, walk, use arms and hands to shelve and remove books from shelves, lift books, other library materials and office supplies, and shift and move furniture and library equipment.
Hours and Travel
  • Founders Library is open for 7 days weekly including public holidays. Staff are required to work a designated 8-hour shift daily, during library hours, 8:00 am to 10:00 pm latest, for 5 consecutive days, followed by 2 days off on either Friday and Saturday or Saturday and Sunday or Sunday and Monday.
  • Schedules are designed on a semester basis; however, periodic changes are made, and staff are expected to comply with these changes.
  • No travel is expected for this position.
